Data Processing on Our Website and Other Online Services
Log files when visiting our website
When you visit our website, log files are created to analyze errors and security incidents. These are stored for only a few days to a few weeks and are then automatically deleted.
We use STRATO GmbH as an external service provider to host our website. Log files are stored there.
Subscription to our newsletter
If you have subscribed to our Newsletter , we use your email address to send you our newsletter on a regular basis and to provide you with interesting information about the association. The legal basis for sending the newsletter is your consent (Article 6(1)(a) of the GDPR). You may revoke your consent at any time to stop receiving the newsletter. To do so, click on “unsubscribe” at the bottom of the newsletter email. Or you can write to us at info@gauss-friends.org or by post.
The email address you provided for the newsletter will be deleted as soon as you withdraw your consent to receive the newsletter, unless that email address is also used for communication between the association and you other than for sending the newsletter.
Data Processing in the Context of Our Association's Activities
Member Management
Member data (name, date of birth, email address, phone number, nationality) is processed by the respective officers of our association solely for the purpose of fulfilling the duties assigned to them. Specifically, this means:
- If the Board needs member data to carry out its duties, it may access all member data necessary for this purpose. This includes, in particular, reimbursement of expenses, invitations to general meetings, and newsletters.
- The treasurer processes the membership data required for the collection of membership dues; the auditor processes the membership data relevant to the audit. This includes first name, last name, mailing address, and bank account information with payment details, as well as, if applicable, access to the direct debit authorization including the signature, provided that the member has granted the association a direct debit mandate.
- The association's office processes member data for membership administration and support.
The purpose of processing member data is to pursue the association’s objectives and to manage the association. The legal basis is membership in the association (Article 6(1)(b) of the GDPR).
Current membership data is stored for the duration of the membership and for an additional 3 months.
Photos at events
Photos of our club's activities are published on our website for promotional purposes.
The legal basis for publishing the following photos of adults on our website is our association’s legitimate interest, as described below, pursuant to Article 6(1)(f) of the GDPR:
- Team photos based on our legitimate interest in providing information about club activities (in this case, the team roster),
- Photos related to the game or event based on our legitimate interest in reporting on the (sports) action,
- Photos of the audience who attended the event, or photos in which people appear only as background figures, based on our legitimate interest in reporting on the event and its success.
You have the right to object to the use of any such photo in which you appear, in accordance with Article 21(1) of the GDPR. The association will assess whether there are compelling legitimate grounds for the processing that override your interests, rights, and freedoms. If not, the photo in question will be deleted.
We will only publish other photos in which an adult (a club member or a member of the public) is the main subject or in which only that person was specifically photographed with that person’s consent (Article 6(1)(a) of the GDPR). This consent may be revoked at any time with future effect.
We will only publish photos of minor club members or children in the audience if their legal guardians have given their consent in accordance with Article 6(1)(a) of the GDPR. This consent may be revoked at any time with future effect.
Rights of affected individuals
When we process your personal data, you have the following rights as a data subject:
- the right to access the processed data and to receive a copy,
- the right to have your data corrected if we process incorrect information about you,
- the right to erasure, unless there are still exceptions that apply—such as retention requirements or statutes of limitations—that justify our continued storage of the data
- the right to restrict processing,
- the right to withdraw consent to data processing at any time,
- the right to object to processing carried out in the public interest or for legitimate interests,
- the right to data portability,
- the right to file a complaint with a data protection supervisory authority if you believe we are not processing your data properly. The State Data Protection Commissioner of Lower Saxony has jurisdiction over our association. However, if you reside in another federal state or outside of Germany, you may also contact the data protection authority in your area.
